Tracking Recurring expenses and bills

The recurring calendar can help you keep track of subscriptions, bills, transfers or even paychecks. Any time your account syncs new transactions it will scan them to detect any new, recurring items by comparing them to your existing, past transactions.

Adding new recurring transactions

  • On desktop, navigate to Recurring.
  • Select + Add recurring.
  • Select Get started or Add manually to either automatically search for new recurring transactions or manually add new recurring transactions.
    • Selecting Get started will automatically search for new recurring transactions. This can be done every 60 minutes.
    • Selecting Add manually will prompt you to search for a Merchant to mark it as recurring.

Recurring transaction property definitions

  • Frequency: How often a transaction repeats.
  • Type: Defines whether the transaction is an expense or income.
  • Starting date: This is used with the frequency to forecast when in the future to expect a transactions
  • Amount: The expected amount. If you amount is exact you can enter that or if it fluctuates enter an average.
  • Status: This can be used to track active versus canceled. If the status is set to canceled, past transactions on the recurring calendar will appear, but won't forecast any future transactions.

Viewing recurring transactions

Upcoming

  • This view shows a calendar of the current month. Any recurring transactions that have been paid are colored green with a checkmark. Upcoming ones that haven't been paid are shown in blue. The list below the calendar shows all recurring transactions for the month with a green checkmark next to the amounts if they've already been paid. You can tab to future or past months to see recurring in those months.

  • This view shows a list of all recurring merchants regardless of the month.

Different recurring transactions within the same merchant

Each merchant can only have one recurring transaction associated with it. If you have 2 subscriptions to the same merchant, create a new merchant with a similar name to help separate two recurring transactions into separate merchants so their due dates can be tracked separately.

All transactions under the same merchant such as Apple into 1 merchant named something like "Apple Services" or "Google Utilities". It's best to split them out however into separate merchants (ie Spotify, YouTube, Monarch etc). You can do this automatically with rules if the account and amount are unique enough to recognize which ones they are. Here is an example of doing that for an "Apple One" subscription assuming there are no other app subscriptions that cost $30.19:

Removing recurring transactions on desktop

  • On desktop, navigate to Recurring.
  • Locate the transaction you would like to mark as non-recurring.
  • Select the transaction.
  • Select ... > x Mark merchant as not recurring

Transactions can also be marked as not recurring from their transaction details page.

  • Navigate to the transaction in your transactions list.
  • Select to expand the transaction details.
  • Select ... > Mark merchant as not recurring

 

Review recurring accounts and merchants

The Recurring Review flow detects potential recurring merchants and liability accounts connected with Spinwheel, and presents them to you for review and approval before they are considered as recurring items.

You can use the review flow to edit the recurring amount, frequency, and date; or indicate if the merchant or account is not recurring. You can modify these details at any time in the ‘Edit merchant’ or ‘Edit Account’ modal for the merchant or account.

Get Notified

We’ll send a notification when there is a new item for you to review, and you’ll see a badge beside the Recurring menu option and a banner at the top of the Recurring page. Click or tap on one of these options to access the Recurring Review popup modal.

Go to Settings > Notifications to edit what types of notifications you receive regarding recurring merchants and accounts.
